How do I set it up?

After signing up, you get a dedicated voicemail number. Then you dial a short forwarding code on your phone (we show you exactly what to type — it takes about 30 seconds). After that, any call you don’t answer gets diverted to CallDesk, which transcribes the voicemail and texts it to you.

Does it work with my network?

Yes. CallDesk works with all major Irish mobile networks — Vodafone, Three, Eir, 48, Tesco Mobile, and others. If you can divert calls on your phone, it works.

How accurate are the transcripts?

Very accurate. We use OpenAI Whisper, one of the best speech-to-text systems available, tuned for Irish and UK English accents. Names, numbers and addresses come through clearly in the vast majority of cases.

What is call forwarding?

Call forwarding is a feature built into every mobile phone that automatically redirects a call to a different number when you don’t answer. With CallDesk, you set your phone to forward unanswered calls to your dedicated CallDesk number. When a customer calls and you can’t pick up, instead of hearing a standard voicemail, the call is silently redirected to CallDesk — which answers it, records the message, transcribes it, and texts it to you within seconds. You only need to set it up once. It takes about 30 seconds — you dial a short code on your phone (we show you exactly what to type) and it’s done. Your number stays the same, your customers call the same number as always, and you never miss a message.

Is my data secure?

Yes. The audio recording is permanently deleted from our servers as soon as it’s been transcribed. Only the text transcript is stored, and you can delete that at any time from your dashboard. We are fully GDPR compliant.

Can I send an automatic reply to callers?

Yes — and it’s completely free. Enable “Auto-reply” in your dashboard and every caller will instantly receive an SMS letting them know their message was received. You can use the default message or write your own.

How does callback tracking work?

Every voicemail has a “Mark called back” button. Once you return a call, tap it and the voicemail is marked as done. Your dashboard shows a live count of who still needs a call back, and your caller history highlights any number with a pending callback.

What is the public booking page?

Every CallDesk subscriber gets a personal booking page — a clean, mobile-friendly form your clients can fill in from anywhere. What is the Installed Base?

How do service reminders work?

When you log an installation you choose a service interval — 6 months, 1 year, 2 years, 3 years, or 5 years. CallDesk automatically works out the next service date and, 14 days before it’s due, sends a reminder SMS directly to your client on your behalf. You don’t have to do a thing — the reminders go out while you’re on the tools.

What does the reminder SMS say?

By default it’s a friendly, professional message with your business name letting the client know their service is coming up and inviting them to get in touch. You can also write a fully custom message per installation — useful if you want to reference the specific appliance or include a booking link.

Do the reminders repeat automatically?

Yes. After each reminder is sent, CallDesk automatically sets the next service date forward by your chosen interval. So a yearly boiler service, for example, will remind your client every year without you ever having to update anything.

Can I log an installation directly from a job lead?

Yes. When you mark a lead as “Won” in your Lead Inbox or Job Board, you’ll see an option to log the installation right there. The client’s details from the lead are pre-filled, so it only takes a few seconds to add what you installed and set the service interval.

What service intervals are available?

You can choose from 6 months, 1 year, 2 years, 3 years, or 5 years. If no reminder is needed — for a one-off fit with no follow-up — you can leave the interval blank and the record is kept as a log only.

How far in advance is the reminder sent?

Reminders go out 14 days before the service date by default, giving your client enough notice to plan ahead and giving you time to fill your schedule. You can adjust the lead time per installation if you prefer more or less notice.

Can I see which clients are due for service?

Yes. Your Installed Base dashboard shows a live overview: total installations, records due for service soon, any that are overdue, and the total number of reminders sent. You can also browse the full list, filter by status, and update or deactivate any record at any time.
